Communication Policy

I am trying to update some of our policies.  One in particular is our communication policy.  I was wondering if anyone had a good policy that you could share with me.

  • ELECTRONIC COMMUNICATIONS POLICY

    Electronic communications include, but are not limited to, telephone, facsimile, e-mail, and Internet communications and records of those electronic communications.

    The Company’s electronic communications systems are to be used for business purposes only.  The Company has a limited exception for personal phone calls.  Employees shall not use electronic communications systems for personal purposes while at work or during working time.  All electronic communications are considered records and property of the Company and are subject to inspection by the Company and to inspection and disclosure to law enforcement or government officials or to other third parties through subpoena or other process.

     

    No employee should have any expectation of privacy in electronic communications and should not consider those electronic communications as private or confidential.  Even when some electronic communications are erased or deleted, it is still possible to retrieve those electronic communications.  The Company has the right and ability to monitor, track, review, audit or disclose any electronic communications originating or accessed by you.  The Company may monitor electronic communications for legitimate business purposes, including, but not limited to, quality assurance, to determine if employees are violating personal use standards, or to measure training or improvement.

     

    The Company’s electronic communications systems should not be used to create or disseminate any discriminatory, defamatory, offensive, disruptive or otherwise inappropriate or unprofessional communications.  Among those considered inappropriate or unprofessional are any communications that contain sexual implications, racial slurs, gender-specific comments, or any other comment that inappropriately or unprofessionally addresses someone’s age, religious beliefs, national origin, disability, or any characteristic protected by law.

     

    The Company’s electronic communications systems should not be used to access any discriminatory, defamatory, offensive, disruptive or otherwise inappropriate or unprofessional businesses, entities, or web sites (e.g. pornography, hate speech, criminal skills, or illegal drug web sites, etc.)

     

    Employees are prohibited from performing any act, which is illegal or otherwise in violation of any applicable federal, state or local laws.

     

    Failure to comply with this policy will result in appropriate disciplinary action, which may include termination of employment.  Any employee conduct or action that is in violation of state or federal law may also result in penalties specified by the law.
