Employee Opened the Wrong Check

An employee just let us know that he accidently opened another employee's paycheck. (Her mailbox is below his). Ever had this happen before? Thoughts on any follow-up I should do or anything I in particualr I should communicate to him?

Hopefully you would already have this covered by a confidentiality statement in your employee handbook. If not, you might want to quickly draft a confidentiality policy and get it distributed fast.

Another suggestion is to deliver paychecks to supervisors for them to distribute directly to employees. Personally, I've never been comfortable with leaving employees' pay checks (or, pay stubs) in a mail sot or an untended location.

We never leave pay stubs (we do direct deposit) in anyone's chair or mail box. They must be hand delivered either by payroll (me) or by the employee's supervisor. We see this as the only way to ensure confidentiality.

Our checks are delivered to all of the stores and go into the manager's office. Each employee has to pick up and sign for their check. I would feel VERY uncomfortable to leave checks or stubs where they could be grabbed by anyone.

We have changed to providing electronic copies of paystubs (we are 100% direct deposit) on a secure website that our employees register to use, but when we were still providing paper copies of them I always sent them to the managers/supervisors to distribute to their employees. If someone was out of the office, the manager put it away in a locked drawer until they returned.

Do you go through an outside service to provide the electronic copies?

We use ADP and use their iPaystatements website for our employees to view their paystubs and W-2s. We've been using iPaystatements for several years now and it seems to work pretty well, and it saves me a lot of time pulling copies of paystubs and W-2s for employees when they need them.
