Offsite Payroll

Do any of you have a payroll dept. that is offsite?

Currently if an employee wants to change their taxes or fill out a direct deposit form, they come to HR (which is in the same building as they are) fill out the form, and HR enters it into HRIS.

Payroll is wanting to take this particular function back. Great b/c it gets work off our HR's desk, but, I'm not convinced the logistics will make it very effecient.

Employee's would still be coming to HR to get the form and then instead of entering it, we would sent them over to payroll.

Not sure what to do with the forms then. I don't think they need to be in their employment files, but they will need to be housed somewhere in payroll in seperate files.

  • In our company, W-4 forms, direct deposit etc. are payroll functions and the forms are obtained from that department and submitted to that department. Actually, each department is responsible for issuing their respective forms such as health benefits, worker's comp department etc. We are a retail chain, so store level employee's may obtain the forms on-line via our Intranet, or request directly from the deparment which will courier to them at their store. We do keep W-4 forms in the personnel file.
