Corporate Credit Card Policy

Hi! Do any of you have a corporate credit card policy that you would be willing to share with me? My CFO kinda needs it ASAP.

  • Our company issues an American Express card to each eligible individual in their own name. Charges are easy to track. The card holders are instructed to turn in ALL receipts for items charged with an explanation, if necessary. Our Accounts Payable clerk goes on line weekly and checks the charges made. Also the cards have low maxes.
  • We don't have a written policy, however, our procedures are that only the Director carries a card. There are cards issues for all of our clinical research staff, but these are kept locked up by the accounting department. When ever a conference comes up, then the card is signed out by the employee the day before thier trip. They are required to turn in an expense report for all expenses, charged or paid by cash, and sign the card back in on the first day back into the office. We require the expense report filled out for charges in addition to requesting the receipts. The receipts are for the accounting department for tax recordkeeping, and the expense report is for the pharmaceutical company because many of these expenses are reimburseable.

    If special purchases or supplies are needed (and we do not have a house charge account) the employee can request to sign out the card for the day for that special purpose.


  • Here is our policy:

    The company participates in a corporae credit card program which is available to individuals who obtain manager approval, travel on company business several times per year, and meet the requirements of the corporate credit card program.

    If used strictly for company business travel, this credit card will provide an efficient record of all travel expenses for car rental, meals, hotel, etc. A monthly statement will be sent to each employee's selected billing address showing a descriptive list of new charges, payments and credits.

    While the employee is directly liable to the credit card issuer for any and all charges, the company is negatively impacted financially if an employee fails to pay. Therefore, the status of an employee's account is of concern to the company and will become a performance issue if delinquency persists.

    Corporate Credit Card Policy

    Each employee is responsible for prompt, full payment of all charges directly to the corporate credit card company on a timely basis.

    The company will not be responsible for unauthorized personal charges or misappropriated reimbursement.

    In the event the card is lost or stolen, it is the responsibility of the employee to notify the corporate card issuer immediately.

    Card-Charging privileges can be suspended if an employee has a balance 60 days past due.

    At 90 days past due, the card will be canceled. The supervisor and company HR Rep will be notified to take appropriate discplinary action.

    Upon termination, the employee must return the card to their supervisor. The supervisor will return the card to the CFO. Outstanding balances owed to the corporate card issuer will be considered prior to final payout of compensation, bonus and/or expense reimbursement.
