What type of organization/industry are you with?
-
Wow, you must not have as much turnover as we do. What you are describing sound like a true policies and procedures manual for the whole company. Our CEO is pushing for such a manual, but only to have in each department, not to give everyone. Mo…

I recall having some of this discussion before and I have done what Don D suggested as far as having the binders for supervisors. We also have several in HR available for checkout. We've been having new employees sign an acknowledgement form that …

Sounds good, keeps it simple. How many pages is yours? We used to print up our own and put them in a report cover. That worked fine when it was about 25 pages.
-
Actually, that was my intention. We put the full size manual in a binder for supervisors, so we could change out sheets when there were policy changes. (and we have done that) But we printed a version of the same thing "shrunk down" to be in a han…

Could you explain a little about the differences between your personnel policies and employee handbook? I published a 100 page manual we called a handbook, gave everyone a copy a couple of years ago, but I think it's really more of a policy manual.…

Don, this is why email is a problem, you can't see the expression or hear the tone. Yes, I asked with a smile, but somewhat seriously too. It takes a lot of time to read and post very much, but it's worth it to help and encourage one another. Don'…

Don, how do you manage to do HR for a 50,000 employee company, and post all this stuff on the forum? We all need your time-management training too.

LAST EDITED ON 07-18-03 AT 12:07PM (CST)[p]Absolutely, unless you have a very small company with no turnover, I don't know how you can do without having something in writing. There's lots of good info. on this …

Right, all the discussion on the forum is definitely more important. Besides I've always heard you should push those deadlines to the edge. Why be early? No one really cares, unless you are LATE.
-
A seminar I attended said never copy the documents because you have proof if you goofed and accepted a laminated card or some other unacceptable thing. You sign an affidavit that you saw them and they appear to be legal. That satisfies the require…

I agree, it is still technically a voluntary resignation. You just aren't requiring that he complete the notice period.
-
I don't remember ever having someone file for Unemployment under those circumstances, so don't know what Okla. does. Most have another job waiting and accrued vacation pay coming, and are relieved to just get to leave.
-
Not in my book. We often do not require the resigned employee to complete the notice period. In fact, we don't necessarily pay them for the two weeks. Once they resign, in writing, you are not obligated to keep them. For unemployment, it is volu…

Unemployment is one issue and it depends on your state laws. In Oklahoma, the only reasons for denial of Unemployment benefits is voluntary resignation or "misconduct." Just poor performance isn't enough, you have to prove violation of policy or a…

LAST EDITED ON 07-17-03 AT 12:21PM (CST)[p]Actually Mary, I do have a form I created to track all the info. in our files. We use a 6-section file with the metal clamps on the top, so papers aren't loose. I onc…

I just did a search and found the info that I mentioned earlier. It was posted 4-29-03 by windjam. He or she refers to Circular E, Employers Tax Guide, rev. Jan. 03. It says the employer should ask to see the SS card to verify that the name on pa…

LAST EDITED ON 07-17-03 AT 04:01PM (CST)[p]I don't want to give anyone bad information. I looked on the SSA and IRS websites, but didn't find the info. about legality of requesting SS cards for payroll. I know…

I believe it is on the SS Admin website that it tells you it is perfectly legal to ask to see the SS card for payroll purposes. May be on the IRS website too. I seem to recall that we got a notice from IRS a couple of years ago about penalties if …
-
We do the same. But we send a copy of the SS card to accounting for payroll and keep a copy in their confidential/medical file. Should we have two files? I have enough files without separating confidential from medical which is also confidential,…

Pork, can you tell us more about the on-line SSC verification? Seems like I read they were doing a pilot project to try it. Is that what you are doing? We ask for the SS card for payroll purposes. You'd be amazed at how many we find who have dif…

If it makes you feel better, you aren't alone. We are about the same size, a few more employees, but 2 HR staff. We bought Ceridian's HR/Payroll system a couple of years ago, primarily because Payroll (accounting dept) was already using an older C…

Yippee, skippee! We're all correct. We just had to make that distinction between temporary and permanent.
-
Did mwild31 say what I think they said?? What is the source document? That said lawful permanent residents do not need to reverify. Their "green" cards may have an expiration date, but my original information said we don't have to track them. …
-
Just re-read mwild31 post above which quotes 1997 info. Sounds like that's the one to use. Okay, I'll go back to tracking dates! By the way, we do keep all current I-9s in a binder and do have a tracking system that actually isn't far out of date…

Don, my quote earlier came from http://www.ins.gov/graphics/howdoi/faqeev.htm on 8/8/2002. I have the printout in front of me. That sounds like an official government website to me. Another paragraph in the same material says "The curr…

This is why we need to stick together and help each other. My data from one govt. website (also dated more recently) directly contradicts the info you have, which I was using until last August when I read the INS stuff. I will research further. T…

We go around this question regularly since we have lots of permanent resident aliens on staff. I printed out material from INS website last 8/8/02, called "About Form 1-9, Employment Eligibility Verification." Under the heading "Green Cards" it sa…

The RIF did not eliminate the whole department or all positions. We reduced the number of total hours worked in the department which reduced several people from 38-40 hours to 30, completely cut two positions and cut the work comp person back to 2…
