Non-manager in the files?

I feel that this will likely be a stupid question, but here it goes.

I have a supervisor who is expanding the size of his team next month and is hiring from inside the company. He would like to take a look at the personnel files of those he is going to interview (for any previous disciplinary issues). At first I didn't think that would pose a problem, but since these aren't files he would normally have access to (he's not a manager) is this a problem? He will become the manager of whomever he decides to hire and is soley responsible for the interviewing and hiring decision of this person but since he's not currently in a management position it feels not ok.

Thoughts?

It sounds like a good business reason for him to look at the files to me. I would allow him to review the files only of those under consideration and in the presence of an HR staff member.

I agree with Susan. It makes sense for him to see the performance part of the file. Cull that information out of the rest of the file and let him examine it.

Same here. We have an internal transfer policy and we always post open positions for our current ee's first. If someone interally is interested, I encourage the hiring supervisor to come to HR and together we look over the ee's file.

Thanks all. I feel better now, and will allow the supervisor to take a look while I'm in the room.
