I am asked to write a nonrenewal letter. This letter is to inform a part-time Co-Director of a program (program runs for 1 week a year), that her contract (Oct-July) will not be renewed.
What I need is a generic nonrenewal letter that could be sent to inform non-performers that their contracts will not be renewed. Co-Director's for programs usually are less than 20% of their time (10-20 hours a month, depending on the program). The contract we use, in which both parties sign, will allow us to dismiss the co-director, but we must continue payment until the contract is completed. We have never had a problem before but we now have a co-director that gets paid every month, but has failed to perform any duties. It was decided to let the contract go the term and send her a norenewal letter, so that she is aware that she will not receive this appointment again.

I would write something along the lines of:
Thank you for your previous service as Co-Director at XYZ.
Your contract renewal for the position of X is up for review and XYZ has decided not to renew your contract for the current year.
We appreciate the contributions you have made to our organization and wish you the best of luck in your future endeavors.
